Hotels, cruise lines, airlines, tour operators, insurers, transfer companies, and other partners set their own rules. Those rules are usually included in or linked from your quote, confirmation, ticket, invoice, fare rules, cruise contract, insurance policy, or other booking documents. When those terms address a specific reservation, they control over general website copy or informal summaries.
Immortal Vacations helps plan and arrange travel. Unless expressly stated otherwise, the hotel, cruise line, airline, tour operator, insurer, transportation company, or other supplier actually provides the travel service and controls the booking rules that apply to it.
Agreement to These Terms
These Terms & Conditions ("Terms") govern your use of immortalvacations.com and your interactions with Immortal Vacations in connection with travel research, planning, recommendations, reservations, and support.
By asking us to make or manage a reservation, approving a quote, authorizing payment, or otherwise instructing us to proceed with a booking, you agree to the portions of these Terms applicable to that transaction.
Specific supplier, Fora, fare, ticket, insurance, payment, or booking terms may also apply. Those terms are incorporated into the booking relationship to the extent applicable and may control where they concern the specific travel service.
Our Role
Immortal Vacations is a travel advisor and intermediary. We research options, provide recommendations, coordinate travel components, communicate with suppliers, and assist with booking and servicing arrangements.
Except where expressly stated otherwise in writing, Immortal Vacations does not own, operate, manage, or control the hotels, cruise ships, aircraft, transportation companies, excursions, restaurants, insurers, tour operators, or other third parties providing travel services.
Fora Travel Affiliation
Immortal Vacations is an independent travel advisory affiliated with Fora Travel, Inc., our host travel agency and booking platform. Certain reservations, client records, payment authorizations, support functions, supplier relationships, and compliance functions may be administered through Fora.
Where seller-of-travel or similar disclosures are required, additional Fora or state-specific disclosures may be provided before payment or booking. You agree to review any such disclosures supplied with your reservation.
Partner, Supplier & Booking Terms
Your trip may include services provided by hotels, cruise lines, airlines, tour operators, destination-management companies, transfer providers, rental-car companies, travel insurers, activity providers, rail operators, vacation-rental providers, payment processors, Fora Travel, and other independent partners or suppliers.
For any particular reservation, the terms issued by the applicable supplier or booking platform control that reservation to the extent they address the same subject. This includes cancellation, refund, payment, deposit, final-payment, change, no-show, credit, voucher, itinerary, baggage, age, occupancy, documentation, health, conduct, and eligibility rules.
Supplier terms may be provided in or linked from a quote, booking confirmation, invoice, ticket, fare rules, cruise ticket contract, hotel rate rules, insurance policy, payment authorization, supplier email, itinerary, or other booking information. You are responsible for reviewing those materials and asking questions before approving a booking.
If a supplier's written terms conflict with a general statement on the Immortal Vacations website, in a social-media post, in a general FAQ, or in an informal message, the supplier's applicable written terms for that booking control. A general description from Immortal Vacations does not modify a supplier's contract, create a refund right, extend a cancellation deadline, or waive a supplier penalty unless the supplier or other authorized party expressly agrees in writing.
Supplier policies can change before or after booking. Where practical, we may summarize important terms for convenience, but summaries are not a substitute for the full supplier terms. The supplier's current written policy remains controlling.
Your Approval & Duty to Review
Before instructing us to book, you are responsible for reviewing the material details provided to you, including traveler names, dates, destination, supplier, room or cabin type, transportation details, price, deposit, final-payment date, cancellation terms, refundability, and significant restrictions.
You are also responsible for opening and reviewing supplier terms and links included in booking information. If you approve a reservation after receiving or being given access to those terms, we may rely on that approval in processing the booking.
Once you authorize us to proceed, supplier rules may immediately restrict changes or refunds. If you notice an error after booking, notify us promptly. Corrections may involve supplier fees, fare differences, penalties, or loss of availability.
Traveler names should match the government-issued identification or travel documents that will be used for the trip.
Quotes, Pricing & Availability
Unless expressly identified as a confirmed reservation, a quote is informational and does not guarantee inventory, price, promotion, exchange rate, amenity, or availability.
Travel pricing is dynamic. Rates and inventory may change between the time an option is presented and the time a supplier confirms it. Taxes, resort fees, port charges, gratuities, fuel surcharges, destination fees, foreign-exchange changes, and other amounts may apply depending on the supplier and booking.
Payments
Unless otherwise disclosed, clients generally pay the applicable travel supplier or authorized booking/payment platform directly. Immortal Vacations does not maintain a client trust account or hold client travel funds as a tour operator.
Payment schedules, deposit requirements, accepted payment methods, cancellation penalties, and refundability are determined by the applicable supplier or booking terms.
Cardholder Authorization
If you authorize a charge for travel, you represent that you are the cardholder or have lawful authority from the cardholder to authorize that transaction. You authorize the applicable merchant, supplier, booking platform, or payment processor to charge the approved amount according to the booking terms presented to you.
You are responsible for ensuring sufficient funds or credit are available and for promptly notifying us if a payment fails, is declined, or is reversed.
A card authorization may apply to a deposit, installment, final payment, cancellation fee, change fee, supplier penalty, advisor fee, or other amount expressly disclosed and approved.
Chargebacks, Card Disputes & Payment Reversals
Supplier cancellation procedures must still be followed. A reservation can remain active, continue accruing penalties, or become a no-show even if a card transaction is disputed.
If you believe a recognizable travel charge is incorrect, duplicated, unauthorized, or inconsistent with your booking, please contact us promptly so we can investigate and, where appropriate, work with the merchant or supplier.
You agree not to knowingly submit a false, misleading, or fraudulent chargeback or payment dispute for a transaction you authorized, including where the charge is consistent with supplier terms you accepted or were given access to before booking.
If a payment dispute is filed, you authorize Immortal Vacations, Fora, the supplier, merchant, or payment processor, as applicable, to provide the card issuer or dispute-resolution network with relevant records demonstrating authorization and performance. These records may include quotes, booking approvals, card authorizations, confirmations, invoices, supplier terms, cancellation policies, correspondence, usage or check-in records, and other documentation reasonably related to the disputed transaction.
A chargeback or payment reversal does not create a right to a refund where the applicable supplier terms make the transaction nonrefundable or subject to penalties. It also does not alter any amount lawfully owed under an accepted supplier or advisor agreement, subject to applicable consumer-protection law and card-network rules.
To the extent permitted by law, if a knowingly false or fraudulent payment dispute causes Immortal Vacations to incur direct losses, penalties, fees, or reasonable collection costs, you may be responsible for reimbursing those amounts. Nothing in this section limits legitimate rights available under applicable law or card-network rules.
Changes, Cancellations & No-Shows
Requests to change or cancel travel are governed by the applicable supplier's terms, deadlines, penalties, and availability. Some bookings are nonrefundable from the moment of purchase. Others become increasingly restrictive as travel approaches.
Supplier cancellation and refund rules supersede any general cancellation guidance from Immortal Vacations. If we summarize a cancellation deadline or refund rule, that summary is provided for convenience. The supplier's written terms, confirmation, fare rules, ticket contract, rate rules, or other applicable booking conditions control.
Sending a cancellation request to Immortal Vacations does not by itself cancel a reservation. A cancellation is effective only after it is successfully processed under the supplier's procedures and, where applicable, confirmed by the supplier or booking system.
If you fail to travel, arrive late, miss a departure, fail to check in, or do not meet a supplier's requirements, the supplier may treat the booking as a no-show and may impose penalties up to the full cost of the reservation.
Contact us as early as possible if you need to change or cancel a trip so we have the best opportunity to assist before supplier deadlines pass.
Refunds, Credits, Vouchers & Supplier Exceptions
Refunds, future-travel credits, vouchers, waivers, and exceptions are controlled by the applicable supplier, insurer, merchant, or other responsible party. Immortal Vacations cannot compel a supplier to provide a refund, credit, extension, rebooking, or exception that the supplier does not authorize.
A supplier may choose to make a discretionary exception. Unless confirmed in writing by the supplier or authorized booking platform, an exception is not guaranteed and should not be relied upon.
Processing times may depend on the supplier, card issuer, bank, or payment processor. Credits and vouchers may include expiration dates, traveler-name restrictions, route restrictions, blackout dates, fare differences, or other conditions. Those supplier rules control their use.
Advisor or Planning Fees
If Immortal Vacations charges a planning, concierge, change, cancellation, or other professional-service fee for a particular engagement, the amount and applicable terms will be disclosed before you are required to pay it.
Unless expressly stated otherwise in writing, an advisor fee is compensation for professional services and is separate from supplier charges. Its refundability will be governed by the terms disclosed when the fee is accepted.
Travel Insurance
Travel can involve cancellation, interruption, medical, evacuation, delay, baggage, supplier-default, and other risks. Travel insurance may provide coverage for certain events, but coverage depends entirely on the policy wording, exclusions, limits, eligibility, and claims process.
If insurance is offered and you decline it, you may remain responsible for nonrefundable costs. Immortal Vacations does not guarantee that any insurer will pay a claim.
Passports, Visas & Entry Requirements
You are responsible for ensuring each traveler possesses valid passports, visas, entry authorizations, identification, consent documents, vaccination or health documentation, and any other documents required for the itinerary.
Requirements may vary based on nationality, residency, age, destination, transit country, length of stay, and other factors. Government authorities make the final determination on entry, exit, immigration, customs, and boarding eligibility.
Health, Mobility, Pregnancy & Accessibility
Tell us before booking about accessibility needs or travel limitations that may materially affect supplier selection. Suppliers may have specific policies concerning mobility devices, medical equipment, pregnancy, dietary needs, age, fitness requirements, or participation in activities.
Immortal Vacations does not provide medical advice. Travelers are responsible for evaluating their own fitness to travel and obtaining appropriate professional guidance when needed.
Air Travel
Airline schedules, aircraft, seat assignments, baggage rules, connection times, terminals, and fares can change. Seat selections and special-service requests are generally subject to airline control and are not guaranteed until honored by the airline.
Separate airline tickets can create additional risk if a delay causes a missed connection. When relevant, we may point that out, but the traveler remains responsible for understanding the ticket structure and applicable airline terms.
Cruises & Itinerary Changes
Cruise lines may change ports, arrival or departure times, ships, onboard offerings, or itineraries for operational, weather, safety, regulatory, or other reasons. Missed or substituted ports do not necessarily entitle a traveler to a refund unless the cruise line's contract or applicable law provides otherwise.
Travelers are responsible for complying with cruise-line boarding deadlines, documentation requirements, onboard conduct rules, and port-entry requirements.
Events Beyond Our Control
Travel may be affected by weather, natural disasters, strikes, labor disruptions, mechanical issues, schedule changes, overbooking, air-traffic restrictions, political events, civil unrest, epidemics, government action, war, terrorism, supplier insolvency, closures, or other circumstances beyond our reasonable control.
We will make reasonable efforts to assist, but cannot guarantee a particular alternative, refund, waiver, or compensation from a supplier.
Traveler Conduct & Supplier Rules
Travelers must comply with applicable laws and reasonable supplier rules. A supplier may deny boarding, remove a guest, terminate services, or assess charges for conduct that violates its policies or endangers other people or property.
Website, Quote & Typographical Errors
We make reasonable efforts to provide accurate information, but errors can occur in supplier feeds, websites, quotes, descriptions, photographs, schedules, or pricing. A typographical or display error does not obligate Immortal Vacations or a supplier to honor an obviously erroneous price or description where applicable law permits correction.
Limitation of Responsibility
To the fullest extent permitted by law, Immortal Vacations is not liable for the independent acts, omissions, delays, cancellations, failures, negligence, insolvency, representations, warranties, or misconduct of travel suppliers or other third parties.
Nothing in these Terms excludes liability that cannot lawfully be excluded or limits rights that cannot lawfully be waived.
Indemnity for Your Misconduct
To the extent permitted by law, you agree to be responsible for losses, claims, costs, or liabilities arising from your fraud, unlawful conduct, material breach of these Terms, or unauthorized use of another person's payment method or personal information.
Resolving Disputes
If a dispute arises concerning Immortal Vacations' own services, please contact us first at aidan@immortalvacations.com and give us a reasonable opportunity to investigate and resolve it.
Disputes concerning a supplier, insurer, merchant, card issuer, or Fora may be subject to that party's own contractual dispute process.
Nothing here prevents either party from pursuing rights available under applicable law, including an eligible small-claims action.
Partner Communications & Conflicting Information
You may receive information directly from a supplier or partner before, during, or after booking. This can include schedule changes, cancellation notices, check-in instructions, payment requests, travel-document requirements, credits, and other important notices.
If information from a supplier conflicts with information from Immortal Vacations, notify us promptly. For matters controlled by that supplier, the supplier's written terms and current operational instructions generally control unless the supplier confirms otherwise.
Immortal Vacations is not responsible for a traveler's failure to read supplier notices, confirmations, tickets, fare rules, cruise contracts, insurance documents, or other booking information that was provided or made available to the traveler.
Website Use & Intellectual Property
Website content is provided for general informational and travel-planning purposes. You may not misuse the site, interfere with its operation, attempt unauthorized access, submit malicious material, or use the site for fraudulent or unlawful activity.
Immortal Vacations owns or licenses the site's original branding, design, text, and other proprietary content except where third-party rights are indicated.
Governing Law & Severability
These website Terms are governed by the laws of the State of Colorado, without regard to conflict-of-law principles, except where another law must apply. Specific travel bookings may be governed by different laws, contracts, venues, or dispute procedures.
If a provision of these Terms is held unenforceable, the remaining provisions remain in effect to the fullest extent permitted by law.
